Manage Orders

This outlines how to manage Orders for Events in Back Office and the Events Portal.

What Is Required?      

  • An Event will need to have been created with one or more Sessions.
  • An Area will need to have been created that is assigned to one or more of the above Sessions. The Area will also need to have an Account assigned to it.


How To Add Orders      


In Advance Of The Event (ADO)      

An Advance Day Order (ADO) is an Order that is usually made in advance of an Event commencing and can be created via either the:

In Back Office      

An ADO can be created by a Clerk/Staff Member on behalf of a patron. To do this the following is required:

Add Button      
  • In the Advance Day Orders (ADO) tab select the Add button.
  • At the Choose Order Type prompt select the appropriate option.
  • Once selected, ensure the new ADO Order added to the grid of the Advance Day Orders (ADO) tab is given an appropriate name.
  • Ensure the new ADO Order is selected and then select the Add button in the ADO Order Items section on the right hand side to open the Select Products for Order screen and add one or more items to the Order. Once selected, select the Choose Selected button to add the selected Products to the Order.
  • If applicable, add any Surcharges to the Order by selecting the Add button in the Surcharges section.
    • Once added, the Surcharges added can be applied to all ADO/EDI Orders listed for the selected Area, by selecting the Apply All button.

Basic Invoicing Button      
  • In the footer section, select the Basic Invoicing button to open the Basic Invoicing screen:
    • Once displayed, it will display the Event Session details in Header section, along with the text Event In Sale, to indicate that this sale is associated with an Event.
    • Select the Add Row button to add a row to the grid.
    • Select Enter to open the Search Products screen to search for and select a Product.
    • Once found and selected, select OK to close the Search Products screen.
    • If necessary, select the Add Row button again to add more Products to the grid.
    • Once all Products have been added to the Order, select the Tender button to open the Tender screen.
    • Finalise the sale and select the Close button to exit the Basic Invoicing screen and return to the Area Orders screen.
    • The Order just created will now appear in the Advance Day Orders (ADO) tab with the name BO Invoice.

In Events Portal      

An ADO can be created by a Clerk/Staff Member on behalf of a patron via the Events Portal. To do this the following is required:

How To Add An Order On The Day Of The Event (EDO)      

An Event Day Order (EDO) is an Order that is usually created while the Event is in progress. An Event Day Order (EDO) can be ONLY be created in Touch. To do this the following is required:

This is only possible while the Event Session is in progress.

  • In Touch, when A Clerk/Staff Member logs in while an Event Session is in progress, an Event Session keyboard will be generated displaying all the Areas available in the Location to which the Touch terminal is assigned.

Event Session keyboards will ONLY be generated while a Session is in progress.

  • Select from the list of Areas the patron's assigned Area. Once selected:
    • If an EDO Account Holder's Account was configured against the selected Area, then that Account will be added to the Order and appear in the sales grid.
    • Select the Items that are to be added to the Order.

How To View Orders      

Advance Day Orders (ADOs) and Event Day Orders (EDOs) can be viewed in Back Office.
