Cancel / Refund / Void A Vii Gift Card

This outlines How To Cancel / Refund / Void A Vii Gift Card using the Refund Mode (#1003) and the Issue 3rd Party Gift Card (#241) POS Keys.

When a customer/patron has purchased a Vii Gift Card and for whatever reason, they have changed their mind and want a refund.

How To Cancel / Refund / Void A Vii Gift Card?      

Do as follows:

  • First Check the Gift Card's Balance to confirm the amount to be Refunded.
  • Select the Refund Mode (#1003) POS Key in Touch
    • If prompted select an appropriate reason for the refund.
  • Select the Cancel Gift Card (Issue 3rd Party Gift Card (#241)) POS Key in Touch.
  • When the Gift Card - Cancel Load screen is displayed, scan/swipe or enter the Gift Card Number.
  • Select the green right arrow.
  • Enter an Amount that is equivalent to the amount that was initially loaded on to the Gift Card when it was originally issued.
  • Select the green right arrow.
  • The Gift Card - Load Gift Card screen is displayed with a Gift Card Successfully Cancelled confirmation message.
  • Select OK.
  • A Load Gift Card entry will appear in the sales grid with the Amount to be refunded displayed as a negative amount.
  • Finalise the refund by selecting the Cash POS Key (as an example) and refund the customer/patron in Cash if that was the media selected.
  • Check the Gift Card's Balance.

 

 


What Is Not Supported?      

  • A Vii Gift Card can only be cancelled when:
    • The Gift Card's current balance is equal to the amount that was initially loaded on to the Gift Card when it was originally issued.
    • The amount being entered is equal to the amount that was initially loaded on to the Gift Card when it was originally issued.

 


What Is Required?      

  • Ensure the Refund Mode (#1003) POS Key is added to the appropriate Keyboard Layout via the Designer.
  • Ensure the Issue 3rd Party Gift Card (#241) POS Key is added to the appropriate Keyboard Layout via the Designer and the More Settings button:
    • Ensure it is given an appropriate Caption. For example, Cancel Gift Card.
    • Ensure it has the appropriate Interface selected.
    • Ensure the Enter number first option is selected. This can also be NOT selected, which will mean the prompt for the entry of a Gift Card number will be done at the end of the Cancel operation.
    • Ensure the Preset Amount is set to a value EQUAL TO ZERO. This can also be set to a value GREATER THAN ZERO, which will mean the Amount being refunded is preset and CANNOT be overridden.
