What Is It?      

The Account Charge feature in Swiftpos allows Customers/Members to charge all or part of a sale to their Account instead of paying immediately. This feature is often used by Venues offering Member tabs, corporate billing, or credit-based sales. Account balances are tracked in the Back Office, with charges and payments automatically updated when sales are processed.

 


What Is Required?      

  • Navigate to Account Records in Back Office.
  • Create or open an existing Account.
  • Configure details such as credit limit, Account active dates, and optional prompts (e.g., PO number, vehicle registration, or odometer reading).
  • Ensure the Charge / Redemption (#151) POS Key is added to the POS keyboard layout.
  • (Optional) Restrict access via Clerk Security Settings.

 


How To Charge To An Account?      

  • Log in to the POS terminal.
  • Begin a sale as usual.
  • Add the Customer/Member that has an Account configured in Back Office to the sale.
  • Ring up the items being purchased.

If Account prompts (PO number, odometer, rego) are enabled, the POS will display these prompts before processing the charge.

 

  • To charge a portion of the sale amount to an Account continued ...
    • Finalise the remaining balance using another payment method. For example, Cash, Card, etc.
    • The sale will be completed, and the charged portion will be charged to the Customer's/Member's Account.

The Account Charge function in Swiftpos provides a seamless way for Venues to offer credit-based purchases. Whether charging a full sale or a partial amount, it ensures that transactions are properly linked to Customer Accounts, with accurate record-keeping, reporting, and flexible payment options (both online and offline).
