Clerk Security Group Permissions – Administration

Allows access to the Administration menu, which is used to manage core records such as Venues (Location Groups), Locations/Outlets, POS Devices, and system-wide configuration. They also provide access to features that influence reporting structures, integrations, tax handling, and overall system behaviour.

Users with Administration access can configure how SwiftPOS operates across all Locations, including device settings, financial rules, and operational structures. These permissions are typically reserved for trusted users responsible for maintaining and administering the system.

Administration permissions provide comprehensive control over SwiftPOS configuration, covering system structure, financial setup, device management, and reporting behaviour. Due to the level of access provided, these permissions should only be assigned to users responsible for system configuration and maintenance.

• Location Groups (Venues)
  Allows adding and editing of Venues (Location Groups). Typically only configurable from the main server

  • Delete Location Group
    Allows deletion of Venues (Location Groups) from SwiftPOS.

  • Regenerate Sales
    Allows regeneration of sales data already in the database to a file for reprocessing.

• Location Records
  Allows creation and maintenance of Location/Outlet records. Applies only to authorised Venues (Location Groups).
  • Delete Location
    Allows deletion of Location/Outlet records.
  • Location Sub Filters
    Allows configuration of Sub-Filters assigned to Location records.
  • Location Warehouse Settings
    Allows configuration of settings impacting the Suppliers > Warehouse Requisitions module.
  • Location Authorisation Limits
    Allows access to manage settings that impact the Suppliers > Purchase Orders module. Allows access to define and manage a variety of system-level records including Price Levels, Media (Tenders) and Reporting Medias which impact certain reports.
  • Location Device Settings
    Allows management of settings sent to POS Devices within Locations.

  Allows adding and editing of POS Device (Terminal) records. Applies only to authorised Venues (Location Groups).
  
  • Delete Terminals
    Allows deletion of POS Devices. Only possible if no sales data exists
• Price Level & Media Set-up
  Allows configuration and management of system-level records including:
  Location Sub-Filters, Product Sub-Filters (used by the Suppliers > Purchase Orders > Product Creation Wizard), EFT Card Media Links (used to map EFT transactions to certain medias by Card Number), Custom Media Text (used if text needs to print on a receipt based on Medias used to finalise a sale) and EFT Acquirer Codes.
  • Media GST Exempt
     Allows configuration of Media Types that are exempt from GST when used to finalise part or all of a sale.

  Allows configuration of Tax Types. Defines which Product Categories and Price Levels attract GST
• Time Periods
  Allows definition of time periods used in reporting. For example: 15-minute intervals, 30-minute, Hourly breakdowns and Meal periods
  
• iMPRS Key Layouts
  Allows configuration of key layouts used in integrated systems
  
  • AreaEdit
    Allows configuration of operational areas within SwiftPOS
• Global Preferences
  Allows access to manage settings which impact the overall behaviour of SwiftPOS. Things like enabling certain modes as well as defining SMTP settings used for automatic Batch Reports.
• Local Configuration
  Allows access to manage settings which impact the behaviour of SwiftPOS for a Windows User/Machine combination. Things like SMTP details for Purchase Orders and behaviours of certain reports and forms within SwiftPOS Back Office.
• Custom Media Reports

    Allows access to view/add/edit/delete Batch Reports of any user

• Web Apps
  Allows access to manage settings that impact the SwiftAPI or Legacy SwiftPOS Web Store & Web Dashboards module. Applies only to authorised Venues (Location Groups).
  
• Cloud Connectivity

    Allows access to activate a Location for OrderAway or Waiter Devices to be connected to it
  • Onboard
    Allows access to complete the onboard process of a SwiftPOS Back Office database to Cloud Components
    
• Shell BO
  Allows access to turn on/off the global option as to whether Back Office opens in Windows Shell Mode or not (meaning no access to anything else 
  on that computer).
  
• SQL Tools
  Allows access to run database level processes which are reserved for advanced users or MSL
• Services
  Allows access to view/manage SwiftPOS Services status's (can only be done from the Services server)
